Attendance

NOTE: Marking attendance changes an Enrollment status to "Completed" hence it will trigger a Proof of Completion if either the "Public Class" or "Engagement" have them configured. If it's a multi-day event, please only mark the attendance on the last day of the Event.


Provides instructors with attendance lists of the participants on a particular class along with their information. To mark the participants attended:

  • Click on Attendance at the right sidebar;
  • You will be provided with a form of all enrolled learners. Click on the checkbox of the attended learners, and hit Save:
Events represent Instructor Led Training taking place at a particular time, in a particular Location.

Overview

There are two sub-types of events:

Public ClassesPublic classes are Instructor-Led Training that take place at a certain time in a particular location and are open to public registration. The Public class is usually visible in the Catalog (along with the date, duration and location of the Event) and any member of the public can register, pay and join.

Engagements

Engagements are also Instructor-Led Training that take place at a certain time in a specific location; however, they are NOT open to public registration. Engagements are more of a private training session purchased by organizations who want to have a group of employees undertake a training course.


Scheduling an Event

Learndot offers very flexible event scheduling, like continuous or non-continuous days (for example, Monday/Wednesday/Friday), same or different durations for each day (for example, a shorter duration on Friday), or Events with durations that overlap one another. See the section below for more details. Here's a brief example of how a flexible event can be configured:

  • Log in as an Administrator
  • Navigate to Catalog > Events > Public Classes:


  • Fill up the form:

  • Add all events associated with the Public Class you want to run. Below are some Use Cases for example purposes: 
    1. Events can be added for a single day:




    2. Events can be added for non-consecutive days (e.g, Monday/Wednesday/Friday)



    3. Events can be added for continuous days (e.g., Monday to Friday)



    4. Events can be added for any selection of days (e.g., Monday and Tuesday, with a break on Wednesday and resume back on Thursday until Friday)



    5. You can create overlapping events:



You can create overlapping events, if the do not start at the exact same time.

Logistics

When creating the Event for the first time, the Logistics session can't be edited since it imports the Logistics information from the Location.

Make sure your location has the logistics set up correctly before creating the Event. If you wish to edit/change the logistics after creating the event, that is possible, just make sure you save it when creating it, and then come back again and edit it.:

Adding the Event URL

You can add your Provider Event URL to the Event, so the learner will have access to it after they register for that class.

To add the Event URL, as an admin, go to the event you wish to add the URL, click on Edit and scroll down until you see the  "Session URL" field. 

If your session requires a Password to join, you can add it as well so the Learner will see this information on the Learner Dashboard as well:

Once the learner is registered on the class, he'll see this on their Learner Dashboard:

Once the Learner clicks on the "Join Session", a new tab will be opened with the Session URL.


Scheduling an External Class

Sometimes, there may be a need to schedule classes hosted by partners on your website. Learndot allows you to set up all the course information, and then simply change the 'Register Now' button to redirect to a web page of your choice. This can be done using the following process:

  1. Find the web address of the registration page you wish to link to.
  2. Navigate to the course event page in the Admin UI, and click the 'Edit' button.
  3. Look for the 'Session URL' field. Paste in the link to the external registration page. 
  4. Change the class status to 'External.' 
    1. This will modify the behavior of the Session URL field. Instead of being used to supply a link for a webinar or online course to purchasers, it will now cause the 'Register Now' button to redirect to an external page.

Creating Bundled Events

A Bundled Instructor Led Training Course is a course that consists of more than one course packaged together to be sold as one. Bundled events are instances of Bundled Courses. 

Please refer to Bundled Instructor Led Courses for instructions on how to create Bundled ILTs first. Once Bundled ILTs are created, then proceed with creating bundled ILT events:

  1. Create child classes. If existing classes are to be used as child classes, skip this step. 
  2. Create parent event of bundled course, under AdminEvents > Public Class or Engagements
  3. In the event creation screen, whenever a Bundled Instructor Led Training is selected under field 'Instructor Led Training', a new section 'Bundled Public Classes' or 'Bundled Engagements' will appear. 
  4. Under this section, one can select the child classes of this bundled class. Save to complete. 

Note that the date and time of parent event is reset to that of the first children class, overwriting the configured date - this is also normal.

Take note:

Bundled events are meant to be the result of bundled Instructor-Led Trainings (ILTs). Although the Administrator console allows the creation of Bundled Events, following best practices, this should not be done.

Attendance

Instructors and Admins can mark the attendance of the class by the end of the event. 

To mark the participants attended:

  • Open the Event page;
  • Click on Attendance at the right sidebar;
  • You will be provided with a form of all enrolled learners. Click on the checkbox of the attended learners, and hit Save:
