Configuring Notifications for Learning Components

Overview

Learndot's Learning Components use notifications to provide email alerts when certain events are triggered. Learning Components have two types of Notifications:

  • Expiry Notifications, which are sent to Learners to inform them that the Learning Component will expire / be unavailable after a particular date. This can serve as a reminder to the Learner to consume the Learning Component.
  • Survey Notifications, which are sent after the completion of a Learning Component (or after the purchase of a product). These are typically sent to seek feedback. This is handy when the Administrator wants to collect data for further analysis. 


Learning Components Supported

The Following Learning Components support Notifications:

  • eLearning
  • Assessment (previously known as Exam)
  • Content
  • Product
  • Courses

eLearning

eLearning supports both Survey and Expiry notifications. Follow the guides below to configure and use them. 

Survey Notifications

This section is used for sending eLearning Surveys. These are notifications that are typically sent 'X' number of days after the completion date (i.e., after the eLearning is completed). Follow the Administrative guide below to configure the eLearning Survey notification.

Administrator Setup

To set up an eLearning Survey Notification, make sure you are logged in as an Administrator, and:

  • Navigate to Catalog > Learning Components > eLearning
  • Select the preferred eLearning component
  • Click the View icon

  • Scroll down to the Notifications section and press New to create a notification

  • Enter the required information and press Save
    • Type: Select Survey Notification
    • Offset date: Select when you want to send the Notification 
    • Email Template: Select which email template to send out (default or custom)

"Use Default Survey Template" checkbox is pre-selected. Click here to see how the Default Survey template looks like. To use a desired custom email template, please uncheck the box and select the template from the Email Template drop-down menu.

Make sure that the selected email template supports the "Enrollment" entity.

Now that the notification is saved, there will be an entry in the Notifications space

Because this is a Survey Notification, the Scheduled Job seen below is only created upon completion of the e-Learning component. The Scheduled Job is fired once the offset time has reached and, an email is sent to the Learner, which contains the content of the template.

Learner View

As a Learner, this is a sample email template that you will receive. This email is also available in your Learndot inbox.

This email template can be changed by the Administrator at any given time.

Expiry Notifications

Multiple expiry notifications can be set for one eLearning component (e.g., a notification can be scheduled to be triggered 90/60/30 days before).

If the expiry field is not set on the eLearning component, then no expiry notifications emails will be sent out even if configured.

To set up an eLearning Expiry Notification, make sure you are logged in as an Administrator and:

  • Navigate to Catalog > Learning Components > eLearning
  • Select the preferred eLearning component
  • Click the View icon

  • Scroll down to the Notifications section and press New to create a notification

  • Enter the required information and press Save
    • Type: Select Expiry Notification
    • Offset date: Select when you want to send the Notification 
    • Email Template: Select which email template to send out 

Make sure that the selected email template supports the "Enrollment" entity.

To confirm that the Notifications scheduled Job is created and will run accordingly, just find and click on the Enrollment ID, as seen below:

Assessments

Assessments support both Survey and Expiry notifications. Follow the guides below to configure and use them.

Survey Notification

This section is used for sending Assessments Surveys. These are notifications that are typically sent 'X' number of days after the completion date (i.e., after the Assessment is completed). Follow the Administrative guide below to configure the Assessments Survey notification.

  • Navigate to Catalog > Learning ComponentsAssessments
  • Select the preferred Assessment component
  • Click the Edit icon

  • Scroll down to the Notifications section and press New to create a notification

  • Enter the required information and Press Save
    • Type: Select Survey Notification
    • Offset date: Select when you want to send the Notification
    • Email Template: Select which email template to send out 

Make sure that the selected email template supports the "Enrollment" entity.


Now that the notification is saved, there will be an entry in the Notifications space.

Products

Products support both Survey and Expiry notifications. Follow the guides below to configure and use them.

Survey Notification

This section is used for sending Product Surveys. These are notifications that are typically sent 'X' number of days after the Purchase date (i.e., after the Product is purchased). Follow the Administrative guide below to configure the Products Survey notification.

Administrator Setup

Please note that for Products, Survey Notifications will ONLY work with the following shipping methods:

  • eLearning
  • Licenses
  • Download

It will NOT work with the following shipping methods:

  • Box
  • Envelope
  • Default
  • SCORM

To set up a Product Survey Notification, make sure you are logged in as an Administrator and:

  • Navigate to Catalog > Product
  • Select the preferred Product component
  • Click the View icon

  • Scroll down to the Notifications section and press New to create a notification

  • Enter the required information and Press Save
    • Type: Select Survey Notification
    • Offset date: Select when you want to send the Notification
    • Email Template: Select which email template to send out 

Make sure that the selected email template supports the "Order Line" entity.

Now that the notification is saved, there will be an entry in the Notifications space.

Because this is a Survey Notification, the Scheduled Job seen below is only created upon Purchase of the Product. The Scheduled Job is fired once the offset time has reached and, an email is sent to the Learner, which contains the content of the template.


Learner View

As a Learner, this is a sample email template that you will receive. This email is also available in your Learndot inbox. 

This email template can be changed by the Administrator at any given time.


Expiry Notifications

This section is used for sending Product expiry notifications. These are notifications that are typically sent 'X' number of days before the expiry date (the Product must be configured with an expiry, using the Max download days field). Follow the Administrative guide below to configure the Product expiry notification.

Multiple expiry notifications can be set for one Product component (e.g., a notification can be scheduled to be triggered 90/60/30 days before).

Administrator Setup

If the Max download (days) field is not set on the Product component, then no expiry notifications emails will be sent out even if configured.

Please note that for Products, Expiry Notifications will ONLY work with the following shipping methods:

  • eLearning
  • Licenses
  • Download

It will NOT work with the following shipping methods:

  • Box

The expiry notification send date is derived using the formula below:

Purchase date + Max download Days +/- Offset Value.

The + or - sign represents After or Before respectively.

Now that the notification is saved, there will be an entry in the Notifications space

A Scheduled Job is created for the Enrolment and once the offset time has reached, an email is sent to the Learner, which contains the content of the template.

Learner View

As a Learner, this is a sample email template that you will receive. This email is also available in your Learndot inbox.

This email template can be changed by the Administrator at any given time.


Content

Content component supports both Survey and Expiry notifications. Follow the guides below to configure and use them.

Survey Notifications

This section is used for sending Content Surveys. These are notifications that are typically sent 'X' number of days after the completion date (i.e., after the Content is completed). Follow the Administrative guide below to configure the Content Survey notification.

    • Email Template: Select which email template to send out (default or custom)
