Import Certifications from multiple sources, and automatically generate customized and printable certifications.


Overview

Certifications represent the successful completion of an assessment, test or courses. Learndot can also generate customized and printable versions of those certifications. The printable certifications are highly customizable, with the ability to select the background, logo, font, placement, and display information. Customization is achieved by the use of a standard Learndot feature, TemplatesAdministrators can also configure certification expiry periods, email reminders and notifications. 

Certifications are sent to the Contact by email, and also available on the Learner Dashboard.

Setup & Configuration

Learndot can generate certificates for learners enrolled into Assessments and Courses, when the enrollment has a Complete status.  Note: Assessment scores can also be recorded and reported on. 

Step 1: Enable Certifications

To configure Assessments, the first step is to ensure that the certifications are enabled. Make sure that you are an Administrator or have the right set of privileges, and navigate to:

  • System > Generate Certificates → Certification:

  • Ensure that the Enable Automatic Certification for all courses and assessments is set to Yes. Use the Update Options button to toggle the switch.

Setting to Yes enables the feature for the whole site, and setting to No disables the feature for the entire site.

This setting can be overwritten for individual assessments and courses if desired. See Step 3. 

NOTE: For the best "User Experience" in viewing Certification on your Learning Instance, please ensure the image used is on the recommended dimension of
"1101px x 825px". Any dimension, smaller than the recommended dimension will show a the presence of white background on the background as a border lining.

Step 2: Configure Templates and Notifications

The second step is to configure your templates, expiry, and other notifications for all system certifications.

First, let's see how to configure a template:

  • Click the Create Template button to get started with a fresh template OR you can edit the existing template:


  • Edit the template using HTML and Save after you have finished

Here is the list of variables that can be configured in a certification template:

  • Course name : ${(target.enrolment.component.displayName)!?html}
  • Student name : ${(target.enrolment.contact.name)!}
  • Location name : ${(target.enrolment.session.event)!}
  • Issue date : ${(target.issued)!?date?string(“d MMMM yyyy”)}
  • startDate : ${((target.enrolment.session.event.startTime)!?date)?string(“MM/dd/yyyy”)}
  • completionDate : ${((target.enrolment.completionDate)!)?string(“MM/dd/yyyy”)}
  • course duration : ${target.enrolment.component.duration.days}
  • enrollment ID : ${(target.enrolment.id)!}
  • course ID : ${(target.enrolment.componentId)!}
  • Student ID : ${(target.enrolment.contactId)!}


  • Click the Preview button to preview the template to validate the desired look and feel:


Next, let's configure Expiry and Notifications:

  • Click the Update Options button to start configuring:


  • Toggle the ON/OFF switch to determine whether to send new certification emails or not. You can edit the "email.template.certification" email template to customize new certification notifications

  • Determine the duration of certification validity

This will affect all new certifications, however, expiry dates for existing certifications will remain unchanged. Also, after expiry, the certification will continue to be available in the learner view but will be marked as "Expired".

  • Toggle the ON/OFF switch to determine whether to send certifications expiry emails or not. You can edit the "email.template.certification.expiry" email template to customize the expiry notifications email:

  • Set the duration of the Pre-expiry reminder (example: 90/60/30 days before expiry)

This will affect all new certifications, pre-expiry dates for existing certifications will remain unchanged

  • Toggle the ON/OFF switch to determine whether to send certifications expiry emails or not. You can edit the "email.template.certification.expirationReminder" email template to customize the pre-expiry reminder email


Step 3: Enable/Disable Certifications for Individual Assessments and Courses (Optional)

The third and last step which is optional, is to configure certifications for individual assessments and courses. Individual Assessments and Courses are, by default, enabled or disabled based on the parent configuration selected in Step 1. However, this configuration can be overwritten at the level of each individual Assessment. To do so:

1. Assessments

  • Catalog > Learning Components > Assessments:

  • Click on the Edit Icon to alter the desired behavior of any Assessment  component:

  • Select a Certification configuration for the assessment component.
  1. Selecting "Inherit" will overwrite the individual configuration with the parent setting;
  2. Selecting "Yes" will always generate a certification for this Assessment, regardless of the parent configuration;
  3. Selecting "No" will never generate a certification for this Assessment, regardless of the parent configuration;

2. Courses

  • Catalog > Courses:


  • Click on the Edit Icon to alter the desired behavior of any Course:

  • Select a Certification configuration for the course:
  1. Selecting "Inherit" will overwrite the individual configuration with the parent setting;
  2. Selecting "Yes" will always generate a certification for this Course, regardless of the parent configuration;
  3. Selecting "No" will never generate a certification for this Course, regardless of the parent configuration;


Learner's view of certifications

Learners will be emailed their certifications, if enabled, after they have successfully completed the relevant Assessment or Course. Contacts can also view and download their certifications by visiting the "Awards" section within their Learner Dashboard as well as download the certificate and / or share the public link. 

  • Expired certifications are displayed with a "Expired On" message;
  • Certifications that are about to expire are displayed with an "Expires On" message;
  • Active Certifications are displayed without any expiry messages.
