Digital Resources

Digital Resource consists of any content (such as .docx, .pdf, .exe) which is downloadable by a contact.


There are two other types of Resources:

  • Link Resources - Consists of a link to an URL that the contact should browse to.
  • Virtual Machine Resources - Consists of a Virtual Machine details in order to complete Lab Exercises in a virtual environment.

Terminology - What are the differences between Resources and Content Components?


A Resource is a content that can be added to a Component, an Event or a Contact.

Content ComponentA set of one or more resources that must be viewed/used/visited in order to complete a course.

Files Size

You are able to upload until 240MB worth of File Size of any type on Learndot.
For any files larger than the following size, we would strongly recommend using Link Resources.

Relationship with Learning Components

Resources are linked to Learning Components to provide supplementary learning content to contact enrollments.
If resources are required and compulsory to visit, then such resources will be bundled in a Content Component.

Digital Resources are made up of three main properties:

  • Name - the unique name of the Resource.
  • Content - the file content uploaded to the Resource.
  • Access - access levels and download options.

The "Max Number of Downloads" option can never be set to 0 - it would make the resource unavailable for users. Although you can set a number for this option, nowadays, we can not really stop resources download functions to be blocked from browsers, so even if you set a number here, some users may still find ways to download it

Creating Digital Resources

Digital Resources are created within the Admin Dashboard by Staff.

Resources should be given a unique name, summary and description to be able to differentiate them when added to Learning Components.

To create a Digital Resource, follow the steps:

  • Navigate to Catalog > Digital Resources
  • Click New 
  • Fill up the form (shown in the screenshot above)

Uploading Content

  • Content can be any single file (such as .docx, .pdf, .exe) or an archive (.zip) uploaded and stored in Learndot.
  • Each file will be stored in the /private/content/ folder and be given a unique path.
  • The content will only be accessible by contacts enrolled to the Learning Component where the Resource was linked.
  • Archives (.zip) can also be uploaded and extracted making it easier to upload multiple files at once and allow for dependencies.
  • A root file can be selected which is the first file that the user will see when they access this Digital Resource, this is only used for extracted archives.

Access Rights

Access rights can be configured when creating a Digital Resource. 

  • The status controls the availability of this content in a contacts Learning Plan while an Expiry date can be set which restricts when the content will be available until.
  • Download settings can also be set if the content is to be downloaded.
  • A flag to force download can be enabled.
  • Directory Download can also be enabled to specify whether other files in the same directory (or any of the sub-directories) will also be available for download. This is usually the case for extracted archives.

Once a Resource has been added, further Access Rights can be granted to Contacts. This is useful if you wish to share a resource with one or many Contacts.

When sharing a resource with Contacts you can select the Contact, the availability and expiry dates of the content and if it is enabled.

To achieve this:

  • Login as an Administrator
  • Navigate to Customers > Contacts
  • Choose the Contact you would like to give Access Right to, and click on its ID
  • Scroll down to Download Access Right section
  • Click New

  • Fill up the form 

  • Click Save

Adding Resources to Components

Resources can be added to any Learning Component or Course using the new Resource action.
This is done within the Admin Dashboard when viewing a Learning Component or Course.
Generally a Resource will be used as a supplementary content a contact should use or visit.

To do so: 

  • Navigate to the learning component you would like to add a resource to (Catalog > under Learning Components)
  • On the right pane, click Resources under NEW

  • Fill up the form
    • A Resource is selected from a dropdown list and the time offset for when content will be available from can be set.
    • The access to the Resource can also be set so that the it is shared by all Enrollments, or a unique copy of the resource is created for every enrollment.

Resources are reusable which gives flexibility to add the same content to multiple types of Learning Components or Courses.
It also gives the option of using 3rd-party content in Learning Components.

  • Click Save

Viewing Digital Resources

Digital Resources are accessible when viewing enrolled Learning Components or Courses within a contacts Learning Plan.
Digital Resources can be downloaded or viewed depending on the configuration.They are also displayed in the view screen of Learning Components and Learning Pathways.
Access Rights are also shown to easily see how resources are accessed by enrollments.

As with other entities, Digital resources can also be searched using the search bar in the Administrator interface.
